  18.    especially the processing of error reports.  This memo provides
  19.    information for the Internet community.  It does not specify an

  41. 1.  Introduction

  43.    Maintaining large mailing lists, especially the processing of error
  44.    reports, poses many problems.  Most of the examples come from the
  45.    experience of managing the Internet Engineering Task Force (IETF)
  46.    mailing list.  Many examples are presented in this memo.  Most of the
  47.    specific problems shown have already been corrected.

  49. 2. Discussion
  50.  
  51.    At USC - Information Sciences Institute (ISI) we maintain mailing
  52.    lists for the Internet Research Groups, the IETF, and other Internet
  53.    groups; about 25 lists altogether.  We receive about 400 messages a
  54.    month requesting additions or deletions to these lists.  There are
  55.

  63.    about 20 messages a day requesting changes to the lists.
  64.  
  65.    We also receive about 300 error messages a month due to mail delivery
  66.    problems.  Many of these are duplicates, but the net result is that
  67.    about 10 cases per day need to be investigated.
  68.  
  69.    Many of the error reports are for "soft errors", primarily delayed
  70.    delivery notices, such as "not delivered for 2 days, will try for 3
  71.    more days".  These just waste the list maintainer's time and are
  72.    otherwise ignored.  This is especially wasteful when such messages
  73.    are repeated every day.  However, if the same host is a cause of such
  74.    messages for many days in a row, the list maintainer may investigate.
  75.  
  76.    Please note that ignoring the soft errors is not always easy, since
  77.    error messages often contain error reports on several mailboxes,
  78.    requiring the error message to be read carefully to pick out the hard
  79.    errors.
  80.  
  81.    The error reports that indicate hard errors, such as "no such user"
  82.    require the list maintainer to take action.  In many cases the
  83.    appropriate action is to simply delete the user mailbox from the
  84.    list.  However, if the mailbox in question is someone known to be
  85.    active as a working group chair, or such, further investigation is
  86.    necessary.  The more general case of "no such host" may be a
  87.    temporary condition, but if it continues for several days it must be
  88.    investigated.

  90.    Since the error conditions do not have standardized names (for
  91.    example, "no such user" vs. "user unknown") it is sometimes difficult
  92.    to understand whether a soft or hard error is being reported, and
  93.    what one should do about it.  For example, what does "Can't Find Mail
  94.    Center!" mean, or what should one do about "mailll:%MAIL-E-OPENOUT,
  95.    error opening SYS$USER2:[STGEORGE.LONGMAIL]MAIL$00040093BE236612.MAI;
  96.    as outputI)"?
  97.  
  98.    The first step in investigating a problem with a user mailbox is to
  99.    see if it is on the list.  If so, the next step is to see if there
  100.    really is a problem with it.  This is done by using the SMTP VRFY and
  101.    EXPN features, Finger, or Whois.  This often develops information
  102.    suggesting that the user has recently changed his address.  This has
  103.    to be confirmed through an exchange of messages (with the postmaster)
  104.    and then the mailing list must be updated.
  105.  
  106.    If the user is not on the list, then it is likely the mail is sent
  107.    via an exploder or sublist.  So the investigation focuses on finding
  108.    which exploder may be involved, usually this is found by looking at
  109.    the path (from the received lines) of the error report.  The exploder
  110.    that is the source of the error can sometimes be checked using the
  111.

  119.    SMTP EXPN feature.  Then the postmaster is notified.
  120.  
  121.    If the error report is about a host being unknown, the programs
  122.    "whathost", "dig", "ping", and "traceroute" may be used to find the
  123.    problem.  However, getting the problem fixed may require
  124.    communication with host and domain administrators.
  125.  
  126.    What to do if problems can't be resolved: Delete the offending entry
  127.    from the list that may eventually cause the following response: "I
  128.    used to be on the ietf list, how come I am not getting the messages
  129.    any more?" (See Appendix A.)
  130.  
  131. 3.  Typical Problems
  132.  
  133.    In this section we discuss typical and frequent problems that occur
  134.    with large mailing lists.
  135.  
  136. 3.1  Misdirected Error Reports
  137.  
  138.    The most frequent problem is that error reports are sent to the
  139.    author of the message rather than the list owner.  One way this can
  140.    happen is when there is trouble with the author's host not connecting
  141.    to another host along the route before it reaches ISI where the
  142.    mailing list is.
  143.  
  144.    At ISI the SMTP "from" information is added when the message is
  145.    distributed to the list so that hosts following the SMTP protocol
  146.    will send their error reports to the list owner.  However, not all
  147.    hosts do this properly.
  148.  
  149.    Another problem is that some machines do not pay attention to the
  150.    SMTP information about where to send error reports.
  151.  
  152. 3.2  Sublists
  153.  
  154.    What is a sublist?  It is a mailbox with an alias-name that expands
  155.    to a mailing-list or group of recipients.  There are many sublists on
  156.    our mailing lists.
  157.  
  158.    When a user requests that a mailbox be added to a list that looks
  159.    like an exploder, the following message is sent:
  160.  
  161.       We ask that all list maintainters of exploder mailboxes (an
  162.       alias-name that expands to a mailing-list or group of recipients)
  163.       set up some sort of ownership at their site, for their list.  What
  164.       this means is, is any mailbox on your list is invalid, the error
  165.       message will go to you (the list owner), and you can delete that
  166.       mailbox from your list.

  175.       An example of an entry in your aliases file would be:
  176.  
  177.          owner-ietf-local:  stev@vax.ftp.com,
  178.  
  179.             (or your list maintainer/postmaster)
  180.  
  181.    It appears that few people understand the concept of list ownership,
  182.    or they do not set it up correctly.  There is ample evidence of
  183.    problems in this area.
  184.  
  185.    When investigating "user unknown" messages it is often the case that
  186.    the user is not individually listed on our list.  The next step is to
  187.    check received lines and hunt for an exploder list with a host
  188.    similar to the one that the error came from or points to.  At that
  189.    point we attempt to use SMTP EXPN or VRFY to check that the user is
  190.    on a sublist.  Since many hosts do not implement EXPN or VRFY, the
  191.    result of our check is inconclusive.  We then contact the list
  192.    maintainer and ask him to delete the invalid mailbox if it is on his
  193.    sublist.

  195.    Another problem occurs when someone on a sublist wants to change the
  196.    name of his mailbox.  We look through the main list to make the
  197.    correction and if that mailbox is not on the list we check the
  198.    received lines and look for clues to determine which host this user
  199.    may be on.  More than likely it is a sublist.  (See Appendix B.)
  200.  
  201.    When the mailbox is in another protocol world (like UUCP or BITNET)
  202.    there are often problems with the handling and direction of error
  203.    reports. (See Appendix C.)
  204.  
  205.    Sometimes we are unable to find the addresses reported in the error
  206.    message on the mailing list in question.  In such a case we check the
  207.    mailing list for a host name also named in the received lines of a
  208.    message in error.  If we find a match then we look for an exploder on
  209.    that host and expand the sublist there to see if the mailbox in
  210.    question is on that sublist.  (See Appendix D.)
  211.  
  212.    At the time a sublist is entered into our list we record the name of
  213.    the requestor and consider him the sublist owner.  As people change
  214.    roles or companies this contact sometimes fails, in that case we fall
  215.    back to contacting the postmaster.  However, not every site has a
  216.    "postmaster" mailbox. (See Appendix E.)
  217.  
  218.    Most users send their requests and changes to the IETF-Request
  219.    mailbox, when they are on, in fact, a sublist, usually at their own
  220.    company.  This creates a problem for us trying to determine which
  221.    exploder they're on.

  231.    In this case, the request message is forwarded to the sublist owner
  232.    so he can make changes to his list.  However, sometimes hosts may be
  233.    somewhat similar in name (from the same organization, but in a
  234.    different department, in a different building, off campus, etc.) and
  235.    it's hard to know if this person should really be on that particular
  236.    sublist, or listed individually.  Occasionally, we examine the main
  237.    file to see if there are individual addresses that could be
  238.    incorporated in a sublist.

  240. 3.3  Misdirected Requests
  241.  
  242.    Some users don't know that mailing lists usually have a "request"
  243.    mailbox, so they mistakenly send their requests to the main list.
  244.    When this happens, several people will resend the request to the list
  245.    maintainer and then want to know if the request was completed.
  246.  
  247. 3.4  Misdirected Messages
  248.  
  249.    There are also messages that go to the request mailbox when they are
  250.    intended for the main list.  These messages get forwarded to the main
  251.    list and a message is sent to the user notifying him of the
  252.    correction and the proper way to address his message.

  254. 4.  Summary
  255.  
  256.    Running a mailing list should be easy, and with small lists it is.
  257.    The number of changes and errors are small and infrequent.  But when
  258.    lists get large and traffic gets heavy, the number of changes and
  259.    errors grow to many a day.  The level of effort to manage a mailing
  260.    list of substantial size and use becomes significant.
  261.  
  262.    An additional problem is the creativity shown by mail program
  263.    developers in inventing numerous different error reports.  We present
  264.    a large sample of such messages in Appendix F.  We hope that these
  265.    examples will be of help to other mailing list maintainers.

  267.    Our experience with maintaining large lists suggests the following:

  269.    Users:  Please be considerate and try to work problems out locally.
  270.  
  271.    Sublist owners:  Please do everything you can to get the error
  272.    messages related to your sublist to go to you.  Please try to get
  273.    users on your system to talk to you about additions and deletions.

  401. In this example, the old mailbox "kent@ssbell.IMD.Sterling.COM" was to
  402. be deleted and the new mailbox "kent@sparky.IMD.Sterling.COM" was to
  403. be added.  However, when checking the mailing list the old address was
  404. not found.  Further checking for anything that resembled the hostname
  405. still did not turn up anything.  Then checking the full header
  406. information of the sender's message showed that the message came
  407. through UUNET.UU.NET.  There is a sublist on UUNET called
  408. "post-ietf@UUNET.UU.NET".  By using the SMTP feature EXPN on the
  409. sublist the mailbox was found in the form "ssbell!kent".  Finally, a
  410. message was sent to the postmaster at UUNET and asked him to delete
  411. the mailbox.

  458. protocol world such as BITNET or UUCP and that mail is forwarded through
  459. a mail relay.  Experience shows that proper implementation of the list
  460. ownership concept is even less likely.

  513. Sometimes, the addresses reported in error can't be found on the IETF
  514. list.  In this example, "GATORCORP" is not on the IETF list.  In
  515. checking the received lines there is a host called VITALINK.COM.  We
  516. have an exploder on our list at VITALINK called "ietf-
  517. interest@vitalink.com".  The program DIG shows that VITALINK.COM MXs to
  518. UUNET.UU.NET.  Since VITALINK is not directly on the Internet the EXPN
  519. and VRFY features of SMTP don't apply, the sublist on VITALINK can't be
  520. checked.  However, there are enough clues to make an educated guess that
  521. the mailboxes on the host GATORCORP are on the exploder sublist at
  522. VITALINK.  In this situation a message was sent to the Postmaster of
  523. VITALINK.COM to ask him to delete the invalid addresses from his
  524. sublist.

  1670.    discuss this below)  your exploder is sending IETF mail to our
  1671.    exploder (ietf@osi3.ncsl.nist.gov) through the machine
  1672.    osi.ncsl.nist.gov.  Now due to a recent subnet reconfiguration and
  1673.    subsequent lack of update to our DNS servers, the DNS was returning
  1674.    an incorrect address for osi3. Thus IETF mail would be sent to OSI,
